Position Summary

 

Victoria College's Cultural Affairs Department is hiring for a full time Guest Services Specialist. This position, which is shared between the Emerging Technology Complex (ETC) and the Leo J. Welder Center for the Performing Arts (LJWCPA), is responsible for performing a broad range of duties related to guest services, guest communications, house management, and general event operations. This position is expected to work a flexible schedule including some evening and weekend work.

Duties & Responsibilities

 

  • Provides effective and efficient services to guests in a courteous and professional manner according to venue’s established guidelines, processes and procedures;
  • Communicates and coordinates with clients, venue managers, coordinators, planners and other specialists to perform house management duties for events, including crowd control, supervision of paid and unpaid event support staff such as concessionaires, box office workers, and ushers;
  • Monitor events and communicate with managers and coordinators to ensure client compliance, facilitate operations, respond to needs, and proactively handle event service issues;
  • Performs general support duties for meetings, box office functions, and venue reception, including event set-up and take-down, as well as face-to-face, telephone, and digital interactions with customers and visitors. May direct support staff in performing these duties;
  • Completes box office event ticketing set-up, sales, exchanges, returns, closeouts, deposits, reconciliations and other related ticketing functions during regular and event box office hours;
  • Understand and operate basic facility audio-visual systems in absence of IT and production staff;
  • Completes post-event duties such as house manager reports, attendance reports, concessions closeouts/deposits, and event tear-down;
  • Responsible bar manager as needed in the absence of venue managers and coordinators;
  • Utilizes the College’s event management system to plan and implement routine events as assigned, including communicating with clients and vendors to identify needs and ensure customer satisfaction;
  • Completes duties according to established policies and procedures; makes recommendations to supervisor for changes and additions as needed;
  • Maintains orderliness of public areas, brochure racks and poster displays;
  • Assists with event setup, including moving chairs, tables, and equipment;
  • Performs data entry of personal and confidential nature;
  • Handles cash and cash equivalents securely and accurately;
  • Provides feedback and periodic reports to supervisor;
  • Proposes ideas to improve provided services and event quality;
  • Assists with determination of event staffing needs and training of event staff, paid and unpaid;
  • Work collaboratively, communicate and foster relationships with ETC/LJWCPA users, vendors, paid and unpaid staff;
  • Attend staff meetings and weekly logistics meetings to determine the details and resources required for upcoming meetings and events;
  • Operates personal computer to access e-mail, electronic calendars and other basic office support software;
  • Uses various software applications, such as spreadsheets, databases, box office, event management, ticketing and graphics software to enter, create, assemble, manipulate and/or format data and/or reports;
  • Full-time position with hours that may vary day/night depending on event(s) assigned;
  • Understands that ETC/LJWCPA hours of operations differs from Victoria College’s main campus and academic calendar; and complies with ETC/LJWCPA hours of operations as driven by client need and event schedules;
  • Participates in safeguarding the assets of ETC/LJWCPA for Victoria College;
  • Performs related work at Victoria College and Cultural Affairs activities as assigned.

 

Qualifications

 

  • Associates degree required or five years of customer service work experience in lieu of a degree;
  • Bachelor’s degree preferred;
  • Two years minimum work-related experience including excellent customer skills;
  • Experience utilizing effective organizational skills;
  • Willingness to work a flexible work schedule based on customer need and ETC event schedule;
  • Effective written and oral communication skills; interpersonal skills; ability to exercise tact and discretion;
  • Must be able to obtain appropriate certifications, which may include TABC seller-server, food handler, crowd management, CPR and AED;
  • Must be able to work without close supervision;
  • Must be able to read and understand safety information, policies and procedures;
  • Must be able to follow written and oral instructions;
  • Must be willing to assist ETC/LJWCPA users and Victoria College personnel as appropriate;
  • Must have a valid Texas Driver’s License.

 

Physical Demands

 

Work is generally performed in a variety of environments: office, interior operational settings, and outdoors, with frequent interruptions and irregularities in the work schedule. Frequent walking, standing, climbing, lifting, stooping, or carrying of equipment and materials may be required. Incumbents may be required to lift and carry up to 50 pounds. Incumbent may be exposed to extreme temperatures, close quarter situations, high and precarious places, moving mechanical parts, and vibrations. Incumbents are frequently required to travel between campuses. Will be required to push and pull as part of event set up. Hearing of light to moderate sound is required by this job. The noise level in the work environment is usually moderate.
