Job Summary:
The Front Desk Receptionist is responsible for the front desk activities of the clinic including: acknowledging clients in person and over the telephone quickly with professionalism and a warm tone of voice, enthusiasm, etiquette and excellent customer service skills, scheduling spay/neuter and vaccine appointments, working with Rescue groups, collaboratively working with volunteers, managing patient reminders and client billing, and offering excellent customer service at all times.
Essential Functions and Responsibilities:
· Promote a client-centered environment, facilitating processes and programs that meet client needs.
· Promote a practice philosophy that attracts new clients and retains existing clients.
· Ability to facilitate resolution of client concerns and problems, working with Hospital Director when needed.
· Promote an environment of respect for all clients, regardless of financial ability.
· Determine when special financial arrangements can be made with clients and be familiar with current grant funds.
· Report any staff or other issues or injuries to Hospital Director as appropriate.
· Maintain a professional relationship with fellow staff.
· Work collaboratively with staff/volunteers including scheduling, assist where needed when staff shortages occur.
· Attend regular staff meetings and encourage/participate in good staff communication.
· Maintain consistent data entry and appropriate use of hospital software.
· Contribute to a cooperative work environment.
· Stay up-to-date on shelter programs and marketing so that a consistent message is given to staff and clients.
· Provide professional credibility to the SFAS’s mission, supporting and promoting the shelter as a whole.
· Perform related duties as assigned by Hospital Director
· Maintain compliance with all company policies and procedures
· Maintain monthly reminders for patient needs and facilitate delivery to owners
· Maintain Client billing
· Have excellent attendance.
· Onboard volunteers and maintain volunteer schedule.
· Prepare Daily deposits and explain variances
Requirements - Education and/or Work Experience/Skills/Abilities:
· High School Diploma, GED or equivalent.
· One year of receptionist/office environment experience highly preferred.
· Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers/staff/patrons in person, over the telephone or via computer.
· Excellent computer proficiency. (MS Office – Word, Excel and Outlook)
· Typing proficiency.
· Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary communication.
· Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
Physical Requirements:
· Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
· Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
· Must be able to lift and carry up to 40 lbs.
· Must be able to talk, listen and speak clearly in person or on the telephone.
