We are looking for a dedicated Customer Service Administrator to join our team. Under the direction of the Chief Financial Officer, you will coordinate all daily orders and shipments. Candidate must be extremely organized and able to work independently and multitask in a fast-paced environment.
Responsibilities
Assist office manager with the following:
Switchboard – answer phones and greet visitors
Office shipping/receiving/CODs
Assist in additional projects as needed
Respond to customer service requests when necessary
Manage pipeline
Communicate with buyers and sales department to resolve any issues and or questions
Shipping & Receiving Logistics
Review and verify shipment orders
Coordinate driver routes and delivery loads
Track shipments and input data into the company system
Verify night production in Nav, batch and generate cover sheet report
Confirm pick up dates for B/H customers via email or phone
Verify trucks from the previous day were all shipped
Verify loads are picked up during the date and send emails at 3pm to those customers loads that have not picked up for status
Send FTL orders to carriers to be scheduled for delivery
Assist in managing all trucking logistics
Combine partial orders to make FTLs and send to carries to schedule for delivery
Maintain and update invoice & customer files
Remove item quantities form inventory for Sample
Quality Control and enter daily shift production
Maintain production log – including tracking and storage per guidelines
Verify production sheet on NAV
Logistics backup- confirmation/scheduling
Qualifications:
2-years experience in office administration
Associate Degree a plus
Working in a fast-paced environment
Excellent verbal and written communication skills
Multi-tasking and contributing to various facets of the organization is expected
Proficiency in MS Excel and Word programs is required
Customer service focus and great organizational skills will be key to success
Collaborative, team oriented
Ability to provide exceptional customer service
Organized, efficient and great attention to detail
Taking ownership of the position and its essential functions

$45,000 – $50,000 per year
