Our Capital Projects Group is seeking two (2) Administrative Assistants for the Ontario Line Subway office to provide administrative support for the effective delivery of procurement projects. In this position, you will play an integral role in the customer service and organizational strength for the project providing effective and efficient day-to-day operations including providing administrative support to management level staff.

What will I be doing?

  • Prepares packages for internal and external mail and courier services distribution
  • Arranges boardroom bookings and teleconferences involving multiple internal and external participants
  • Acts as the liaison with property management coordinating work order requests
  • Coordinates office supplies and requisitions supplies for replacement
  • Maintains and updates electronic files and office templates (e.g., staff lists, floor plans, etc.)
  • Assembles correspondences, and meeting materials and packages for distribution to senior management
  • Composes and/or edits correspondences for final signature through the Director’s Office
  • Works with multiple stakeholders (internal and external) on a variety of tasks
  • Travel to various downtown offices to pick up IT equipment for new hires
  • Provide backup administrative support to the Executive Assistant
